A pickup report isn't a forecast. A forecast projects what occupancy and revenue will likely be for a future period. A pickup report measures something narrower. It's how many new room nights got booked since the last check, for each future stay date. It's the raw pace data a forecast gets built from, not the forecast itself.

Key Template Sections

A pickup report has five parts. Skipping the header or the comparison data makes the rest hard to interpret later.

  • Header Info: hotel name, total rooms available, the reporting period, and the date this report was run.
  • Daily / Date Range Tracking: one row per future stay date, not one row per report.
  • On-the-Books (OTB) Data: prior total room nights booked, new pickup since the last report, and the current cumulative total.
  • Financial Metrics: ADR, total room revenue, and RevPAR for each date.
  • Comparison Data: the same date last year, plus the variance percentage.

Pace Status: Beyond What Most Templates Track

A number alone doesn't tell you whether to act on it. This template adds a status flag next to each date's pickup. It's based on how that pickup compares to the same date last year.

  • Ahead of Pace: pickup is running above the same point last year. No action needed.
  • On Pace: pickup is tracking within a normal range of last year.
  • Behind Pace: pickup is running below last year. This is the signal to review rate or distribution, usually through a revenue management review, not just note it and move on.

A raw pickup number tells you what happened. A pace status tells you whether it matters.

How Do You Use a Hotel Revenue Pickup Template?

Run it on a fixed schedule, not whenever it comes to mind.

  • Set a reporting cadence: daily inside the next 2 weeks, weekly beyond that.
  • Record OTB before adding any new pickup, so the delta is accurate.
  • Flag pace status against last year, not against gut feeling.
  • Break out segment pickup before deciding what a shortfall actually means.
  • Act on Behind Pace flags within the same week, since pickup problems compound the closer you get to the date.
